In the context of organizing our event, we process personal data for the following purposes:

• Organization and implementation of the event
• Participant management and communication
• Admission control and documentation of participation
• Conducting online meetings/webinars
• Creation and publication of photo and video recordings
• Follow-up to the event (e.g., sending presentations or documents)
• Maintenance of business relationships

3. Categories of data processed

Depending on the type of event, we process the following data in particular:

• Master data (first name, last name)
• Contact details (email address, telephone number)
• Company data (company, function/position)
• Registration data
• Communication data
• Image and video data (if recordings are made)
• Log data for online events (e.g., IP address, time of participation)

4. Legal basis for processing

Your personal data is processed on the basis of:

• 6 (1) (b) GDPR (contract or pre-contractual measures in connection with the event)
• 6 (1) (f) GDPR (legitimate interest in organizing, conducting, and documenting events and maintaining business relationships)
• 6 (1) (a) GDPR (consent, in particular for photo and video recordings, if necessary)

If the processing is based on consent, this consent can be revoked at any time with effect for the future.

5. Photo and video recordings

Photo and/or video recordings may be made during the event.

These recordings may be used in particular for the following purposes:

• Reporting on the event
• Publication on our website
• Publication on social networks
• Corporate communications and marketing
• Print materials and presentations

The legal basis is either:

• Your consent in accordance with Art. 6 (1) (a) GDPR

or

• Our legitimate interest in public relations in accordance with Art. 6 (1) (f) GDPR

You have the right to object to the processing of your image data or to revoke your consent at any time.

6. Recipients of the data

Your data may be passed on to the following recipients:

• Internal departments
• IT service providers
• Event service providers
• Photographers/videographers
• Hosting providers
• Providers of event or webinar software

If data is transferred to a third country, we ensure that appropriate safeguards are in place in accordance with Art. 44 ff. GDPR.

7. Storage period

We only store your personal data for as long as is necessary for the execution and follow-up of the event or as long as there are legal storage obligations.

Photo and video recordings are generally stored for as long as the respective purpose of use exists or until revoked.

Registration data is generally deleted 12 months after the end of the event, provided that there are no legal retention obligations to the contrary.

8. Provision of data

The provision of your personal data is necessary for participation in the event. Without this data, participation may not be possible.

9. Your rights

You have the right:

• to information in accordance with Art. 15 GDPR
• to correction in accordance with Art. 16 GDPR
• to deletion in accordance with Art. 17 GDPR
• to restriction of processing in accordance with Art. 18 GDPR
• to data portability in accordance with Art. 20 GDPR
• to objection in accordance with Art. 21 GDPR

If the processing is based on consent, you have the right to withdraw this consent at any time. The withdrawal must be sent to: info(at)visiconsult.de

In addition, you have the right to lodge a complaint with a data protection supervisory authority.
